Timeout Portal

Terms of Service

Last updated: 20.8.2026

These Terms of Service ("Terms") govern your use of the Timeout-portal, a tool built by the Timeout Foundation ("Timeout", "we", "us") to help our partner organizations plan, run, and reflect on Timeout-method dialogues.By creating an account or otherwise using the Timeout-portal, you agree to these Terms on your own behalf and, if you're using the Timeout-portal for an organization, on behalf of that organization.

We've tried to write this plainly rather than in dense legal language. If anything is unclear, just ask us – see [How to contact us].

For how we handle personal data, see our Privacy Notice – these Terms and the Privacy Notice together form the agreement between you and us.

Who these Terms apply to

These Terms apply to facilitators and organization admins – people who log in to the Timeout-portal to plan dialogues, record notes, and review feedback. Dialogue participants don't log in to the Timeout-portal themselves and don't hold an account, so these Terms don't apply directly to them.

Accepting these Terms

You'll be asked to accept these Terms, together with our Privacy Notice, the first time you log in. You can't use the Timeout-portal until you do. If we make significant changes to these Terms later, we'll notify you by email, as described in [Changes to these Terms].

Your account

  • You log in using a one-time code sent to your email address – we don't use passwords. Keep access to your email account secure, since anyone who can read your email can log in as you.
  • You're responsible for the accuracy of the information you provide (such as your name) and for activity that happens under your account.
  • Let us know right away if you think someone else has accessed your account without permission – see [How to contact us].

Organizations

  • Any user can create a new organization on the Timeout-portal. When you do, you become that organization's owner.
  • Organizations have three roles: owner (exactly one per organization, full control, including managing other members and the organization's settings), admin (can help manage the organization), and member (the default role for facilitators).
  • New members join an organization only by invitation from an existing owner or admin, sent to their email address.
  • An organization's owner must transfer ownership to another member before leaving the organization or deleting their account, if other members remain. This keeps an organization from being left without anyone able to manage it.
  • Your organization is responsible for making sure it has the right to use the Timeout-portal on behalf of the people it invites, and for telling dialogue participants how their data is recorded, as described in our Privacy Notice.

Your content

"Your content" means the dialogues, notes, feedback forms, and other material you or your organization create in the Timeout-portal.

  • You and your organization keep ownership of your content.
  • By using the Timeout-portal, you give the Timeout Foundation the right to host, store, and process your content solely to provide and support the service – for example, showing it to the right people within your organization, and, where your content is aggregate statistical data, using it as described in our Privacy Notice.
  • You're responsible for the content you or your organization enters into the Timeout-portal, including making sure it doesn't identify dialogue participants beyond what the Timeout-portal is designed to record (see [What data we collect] in our Privacy Notice).

Acceptable use

Please use the Timeout-portal only for its intended purpose: planning, running, and reflecting on Timeout-dialogues and trainings. In particular, don't:

  • use the Timeout-portal to collect or store personal data about dialogue participants beyond what it's designed for (aggregate, statistical information, plus anonymous feedback);
  • try to gain access to another organization's data, or to any part of the Timeout-portal you haven't been given access to;
  • interfere with the normal operation of the Timeout-portal (for example, by attempting to overload it or bypass its security); or
  • use the Timeout-portal for anything unlawful, or upload unlawful content.

We may remove content or restrict access if we reasonably believe this section has been breached — see [Suspending or ending access].

Cost

The Timeout-portal is provided free of charge. If that ever changes, we'll communicate about it in advance, and it won't apply retroactively.

Availability and support

The Timeout Foundation is a small foundation, and the Timeout-portal is run on a best-effort basis: we don't guarantee uninterrupted or error-free access, and we don't offer a formal service-level agreement. If something's broken, let us know and we'll do our best to help.

Suspending or ending access

  • You can stop using the Timeout-portal, or ask us to delete your account, at any time – see [Your rights] in our Privacy Notice for how account deletion affects your data. If you're an organization's sole owner, you'll need to transfer ownership first if other members remain (see [Organizations]).
  • We may suspend or end your access if we reasonably believe you've breached these Terms (see [Acceptable use]). Where practical, we'll tell you why first and give you a chance to fix the issue.

Intellectual property

  • The Timeout method, and Timeout's name, materials, and branding, belong to the Timeout Foundation. These Terms don't give you any rights to them beyond using the Timeout-portal as intended.
  • The Timeout-portal's software, design, and underlying technology belong to the Timeout Foundation. You don't get any ownership rights in it by using it.
  • This section doesn't affect ownership of your content, described above.

Disclaimer of warranties

The Timeout-portal is provided "as is." To the extent permitted by law, we don't make any warranties about it, express or implied – including that it will be uninterrupted, error-free, or fit for a particular purpose beyond what's described in these Terms.

Limitation of liability

To the extent permitted by law, Timeout isn't liable for indirect, incidental, or consequential damages arising from your use of the Timeout-portal. Nothing in these Terms limits liability that can't lawfully be limited, such as liability for intentional misconduct or gross negligence.

Governing law

These Terms are governed by the laws of Finland. Any dispute that can't be resolved informally will be handled by the courts of Finland, unless mandatory law gives you the right to bring it elsewhere.

Changes to these Terms

We review these Terms whenever the Timeout-portal's features or how it's used change. If we make a change, we'll notify platform users by email, the same way we do for our Privacy Notice.
